Job description:
Performs administrative and service parts functions to support the smooth operation of service/parts department. Develops and maintains various programs to monitor inventories by use of Dealer Trak system to ensure parts and service staff have products available to meet customer demands, maintains records of Dealer Trak repair orders, sales, deliveries, warranties, and shipments. Works closely with crew leader/service manager.

JOB REQUIREMENTS:
1. Prepares and schedules work orders to ensure cars are scheduled for production and delivery. Verifies specs and pricing on all incoming orders ensuring proper completion and that required parts are in-house and staged for placement on cars. Coordinates submission of claims to the warranty department for processing.
2. Oversees accounts with corporate Treasury Services. Determines account existence, obtains credit info, forwards to corporate and follows-up to ensure smooth service to the customer.
3. Utilizes Dealer Trak to maintain inventory records for parts/services; records and maintains delivery receipts, billing transmittals and other related documents, including back-ordered and specialty vehicle parts. Coordinates used parts inventory. Ensures accuracy of inventory records. Forecasts and monitors the use of parts and parts needs; coordinates purchase requisition when supplies are low. Receives customer part orders, ships parts, and directs parts inventory processes. Maintains security and spot checks inventory in parts department and mobile warehouses.
4. Updates reports regularly and submits to Operations Manager for review and dissemination. Types internal correspondence, orders, delivery receipts/tickets, credit memos, shipping documents. Maintains related files.
5. Assists Operations Manager with annual budgeting.
6. Interfaces with customers and acts as a liaison,on sales personbs instructions, answering questions, filling requests for information and dealing with problem/urgent situations. Ensures customer calls are handled in a professional and courteous manner
7. Prepares parts billings, gathers warranty, maintenance, memorandums and mails to corporate office.
8. Maintains records and systems to track purchases and to process payment requests. Records processed checks into the computer and prepares bank reconciliations.
9. Submits timely and accurate invoice, credit memos and other documents/reports to AP at months end.
