This position is responsible for verification, processing and analysis of payroll information in compliance with related legislation, payroll guidelines and Board policies and procedures.

MAJOR RESPONSIBILITIES: To accurately process all authorized payroll transactions according to pay schedules and due dates.

To understand and apply current salary rates, collective agreements and upgrades to payroll systems in compliance with federal and provincial legislation, internal controls and audit requirements, Pension & Benefits Act and Board policies and procedures.

To maintain and update Human Resource Information System (HRIS) payroll database in partnership with Human Resource Services. To update employee banking, tax credit amounts and all other deduction information.

To coordinate and verify incoming payroll data, schedule payroll file updates, analyze and resolve error conditions, schedule, prepare and balance payroll processes and online manual cheques.

To review, analyze and assign appropriate pay codes. Verify pay rate and deductions. Calculate retroactive adjustments using system information and spreadsheets. Collect overpayments from employees or process retroactive payments as required. Research and resolve any discrepancies on manual timesheets and attendance reporting system. Administer employee and source deductions; reconcile to payroll reports and general ledger.

To respond to inquiries from pension boards, benefit carriers, government agencies, banks, federations, unions, other YRDSB departments and provide direction and guidance to Board employees ensuring confidentiality.

To process web based Records of Employment with Service Canada. Prepare and file annual reports for pension boards, ensure the accuracy of system produced T4s and T4As and calculate and amend prior year T4s as required when changes are processed.

To update rate changes in the supporting spreadsheets in order to calculate and prepare remittances for benefit carriers, unions, government agencies, pension boards and other payees as per due dates.

To run, verify, reconcile and distribute various payroll reports such as federation fee reports, benefit reports, credit union reports, pension reports, etc.

To calculate, process and report data of all changes relating to new hires, leaves of absence, retirements, terminations, disabilities, deaths, retro payments, strike days and vacation payments. Process online 143 forms for OMERS and ensure TPP payroll based reporting and manual updates to the TPP TIM system are accurate.

To provide support, cross training and assistance to other payroll staff as required. To maintain an up-to-date process binder for tasks assigned.

To receive, verify and prepare for deposit cheques from the Boards LTIP carrier and pension boards and ensure the amounts are properly reflected in employees YRDSB and pension board records.

To work as an active member of the Payroll Services team.

To attend meetings as required.

To attend professional development sessions/training as required.

To perform other duties as assigned.LINE OF RESPONSIBILITY:

Responsible to the Manager, Payroll Services. Accepts direction from Supervisor, Payroll Services and/or Senior Payroll Representative.

EDUCATION, EXPERIENCE AND QUALIFICATIONS: Secondary School Graduation Diploma with up to one year of post-secondary education in a business or payroll related discipline is required.

Minimum two years related experience is required.

A good working knowledge of Microsoft Office Suite and current Board approved/implemented software is required.

Important Information for CUPE 1734 Members:

LA.11.7 Those twelve (12) month employees filling vacancies as a result of their applying to a job posting are to remain twelve (12) months at their position.
