Reporting to: Superintendent of Human Resources, Senior Manager- Labour and Employee Relations/Teaching Services and Manager of Human Resources, Payroll, Pension and Administrative Systems.

Description: Provides information management support, acts as the first point of contact between the Superintendent, Human Resources Managers and both internal/external clients;

Develops and distributes correspondence including highly confidential and sensitive letters, memoranda, Board reports;

Proactive calendar management includes maintaining the Human Resource management team's work schedules and calendars,

Preparation of required materials for meetings and/or events.

Communicates with the unions, associations, other school boards and Ministry of Education as required;

Develops, coordinates and maintains accurate tracking of all grievances, compiles and provides reports on a monthly basis to Senior Administration;

Attend Labour Management meetings, document meeting minutes, and prepare board materials;

Prepare and review all documents, reports, and correspondence for signatures for format, content, grammar, spelling and make edits as necessary; Processes all Human Resources Department external invoices for payment, including application of appropriate GL accounts and providing current Human Resources budget account balances and expenditures as requested by the HR management managers;

Prepares monthly report for Finance Department itemizing all release requests and identifies appropriate billing back to respective unions/associations. Conducts and prepares statistical reports with respect to annual release time;

Human Resources contact for all request for the release of staff for union/association-related business, consults with Principals/Supervisors/Union Presidents and prepares correspondence approving same as necessary;

Coordinates and gathers information related to OCT referrals. This includes correspondence with OCT representatives. Assists with seeking and compiling information/data from other co-terminus school boards on best practices related to salaries, human resources structure/processes and collective bargaining;

Responsible for the coordination of all contract negotiation/bargaining sessions for all union/employee groups;

Coordinates the amendment/printing/distributing of all collective agreements and terms and conditions documents for all employee groups;

Coordinates the distribution and collection of all job evaluation submissions and establishes and maintains a library of same;

Responsible for co-ordination and preparation of all salary adjustments resulting from position reclassifications;

Filing, scanning, and retrieval of documents and records;

Coordinates and compiles information related to school banked planning time.

Provides additional support to Human Resources department during peak periods, employee illness or absences;

Qualifications: Minimum Required Office Administration General - Ontario College Diploma (Preferred Office Administration Executive - Ontario College Diploma);

Experience Required 7 years of experience

Advanced proficiency in Microsoft Office, financial software, Human Resources software (Preferred knowledge and experience with Policy development);

Must possess excellent interpersonal and communication skills both written and verbal, ability to self-start, follow through on special projects and maintain accurate records.

Salary: Professional Administrative Support Staff (PASS 4) - $55,665 - $70,533
