Temporary Human Resources Assistant (E)

Human Resource Services Department

Education Centre

Applicants will be considered in the following order:

1) Qualified probationary, temporary and Temporary Hourly Rated (THR) ESS/OSSTF employees.

2) Qualified external applicants (includes employees from other Bargaining Units) Reporting to the Human Resources Manager, through the Human Resources Officer, the successful candidate will be responsible for supporting the activities of the Human Resources Department and its day-to-day operation.The successful applicant for this Temporary Educational Support Staff position, Level E ($45,167 - $56,099), will work 35 hours per week, 12 months per year, effective as soon as possible to August 31, 2024 (with the possibility of an extension). Hours of Work: TBDResponsibilities: Provide administrative support to the Human Resource Services Department.

Set up and maintain computerized employee records (eg. positions, leaves, benefits, identification, compensation, seniority, etc.) for multiple employee groups.

Maintain various databases utilizing computer applications (eg. Word, Excel, Filemaker Pro, etc.).

Establish and maintain personnel files.

Maintain filing systems.

Initiate employee data flow to the Payroll Department to meet deadlines.

Prepare new staff information packages and related correspondence.

Interact in a positive and professional manner with the public and with employees at all levels of the organization.

Provide information on Human Resources related matters to employees.

Provide back-up support to the department reception as required.

Other duties as assigned by the Human Resources Officers or Managers.

Qualifications: A Secondary School Graduation Diploma is required.

Preference will be given to candidates with prior work experience in Human Resources.

Preference will be given to candidates with post-secondary education in Human Resources and/or working towards the CHRP designation.

Computer knowledge and/or experience to include, but not be limited to, IPPS (or equivalent), FileMaker Pro, Microsoft Office and G-Suite is required. Experience working with Excel spreadsheets, Word mail merges, and Laserfiche would be an asset.

Excellent computer and word processing skills are required.

Excellent interpersonal skills for communication with administrators, staff and the public.

Excellent organizational, prioritization and time management skills.

Demonstrated ability to accurately enter information into a database along with an understanding of, and experience in, maintaining the integrity of a large database.

Ability to complete assigned duties with minimal supervision and to communicate effectively in both oral and written form.

Ability to work collaboratively as member of the Human Resources team.

Demonstrated ability to provide quality customer service and managing multiple demands in a fast-paced environment.

Proven ability to maintain a high level of confidentiality and diplomacy.

Proven ability to troubleshoot employee concerns effectively; and

Experience with and knowledge of the administration of collective agreements and other related legislation would be an asset. Applicant Self-Identification Questions
