POSITION: HUMAN RESOURCE ASSOCIATE

LOCATION: Catholic Education Centre, Human Resource Services Department. 650 Rossland Road West, Oshawa ON, L1J 7C4

HOURS OF WORK: Monday to Friday, 8:15 a.m. to 4:30 p.m.

SALARY: Management/Administrative A5 ($62,500 - $72,349)

Reporting to the Senior Manager of Human Resource Services, the Human Resource Associate is a high functioning, organized, and efficient self-starter who will provide a sophisticated level of support to the Human Resource Services department using their excellent analytical skills and advanced abilities in highly administrative and automated environments. DUTIES AND RESPONSIBILITIES

Support the administration of the recruitment and selection process including preparing job postings, liaising with advertising representatives to facilitate external job advertisements, administrative support for interviews and testing, drafting and distributing correspondence, monitoring completion of pre-hire conditions, maintenance of records, and new employee sign-ups;

Monitor, update, maintain, and process personnel and payroll changes in accordance with collective agreements and terms of employment using appropriate source documents in adherence to pay deadlines that includes maintaining accurate employee records using a human resources information system;

Monitor the submission and reconcile attendance reporting and usage for all employee groups, including follow-up as needed;

Provide leave and vacation entitlement information to supervisors and employees in accordance with collective agreements and terms and conditions of employment for non-union staff;

Maintain and disseminate supply lists for all employee groups;

Conduct research and extract and analyze data as requested by the Senior Manager of Human Resource Services or Human Resource Consultants;

Provide administrative support to the Boards attendance support and disability management programs for both occupational (WSIB) and non-occupational illnesses and/or disabilities including assisting with processing, follow-up, management and tracking of claims and costs, and preparing correspondence and documentation such as Return-to-Work agreements/accommodation plans, sick leave and vacation entitlements memos to staff, etc., and respond to related inquiries from staff accordingly;

Monitor SFE automated system to ensure daily vacancies are covered;

Prepare and create a wide variety of ad hoc and recurring reports, correspondence, and other documents for both internal and external stakeholders including the Ministry and unions;

Perform general administrative services for the Human Resource Services department including maintaining personnel and other files both paper and electronic, responding to various telephone inquiries;

Participate in grievance and arbitration process; investigate grievances and prepare reports; assist with development of Board response; attend arbitration hearings and provide resource material as required;

Assist in other duties as required by the Senior Manager of Human Resource Services and Human Resource Consultants.PREFERRED QUALIFICATIONS Education

Post secondary education, preferably focused in Human Resources;

CHRP/CHRL designation preferred or working towards this designation.Experience

Minimum three (3) years experience in a Human Resources role, preferably in a generalist capacity with a school board.Other Qualifications

Working knowledge of relevant employment legislation (i.e. Employment Standards Act, WSIA, OHSA, MFIPPA, AODA, Human Rights Code, SBCBA, OLRA);

Demonstrated ability to function effectively in a fast-paced team and office environment with excellent organizational and time management skills and the ability to multi-task and prioritize workload;

Strong interpersonal skills with ability to function effectively within a team, as well as with administrators, managers, staff, outside agencies and others;

Strong written and verbal communication skills, as well as an excellent telephone manner;

Ability to maintain discretion with confidential information;

Ability to interpret collective agreements, Board and department policies and procedures, and respond to related inquiries;

Excellent research and analytical skills with an above average aptitude for figures with accuracy and attention to detail;

Demonstrated ability to exercise sound judgment while coordinating and monitoring variable workloads and recognizing departmental priorities;

Self-starter with an aptitude for producing timely, accurate work in a demanding and deadline oriented environment and;
