Reporting to and under the daily direction and guidance of the Administrative Assistant, the Secretary is responsible for providing various general secretarial services for the school, using both computerized and manual systems. The duties and responsibilities assigned will vary for each position, based on individual school needs.

composes and prepares routine correspondence; enters data, designs, types, formats, edits and/ or proofreads a variety of materials

retrieves, compiles and/or prepares various operational information (e.g. permanent record cards, interim reports, transcripts, passport to education)

gathers, solicits articles/ photos from staff, students, parents, community groups; types/ formats and issues approved school newsletters/ papers

photocopies, files, cuts, punches, staples, labels and collates materials (e.g. mailouts, provincial exams)

sorts/ screens and distributes mail/delivers to Post Office

provides backup front counter reception and switchboard services; relays messages; calls students to office; directs visitors; answers routine inquiries from students, parents, staff, community, etc. on various school matters; receives/ records students who are late or require early dismissal; ensures authorization; issues appropriate slip

provides information, takes student registrations/ transfers and confirms documentation; sets up appointments with counselor; establishes and maintains files (i.e. student files, PR cards, etc.); requests/ forwards student files

operates standard office equipment including computer (word processing, spreadsheets, database, desktop publishing, graphics, scanners, student information system, data entry, power point), E-mail, PA system, switchboard, postage meter, photocopier, facsimile

performs other comparable duties as assigned which are within the area of knowledge and skills required by the job description

Good command of written/ spoken English (grammar, spelling, punctuation)

Ability to use judgement and tact in providing information

Good knowledge of office procedures and standard office equipment including Windows based office computer systems and business software

Minimum keyboarding speed of 50 wpm

Good organizational, interpersonal and communication (oral and written) skills

Ability to meet deadlines and deal effectively with constant interruptions OR an equivalent combination of training and experienceDesirable Qualifications and Experience Knowledge of School District administrative software

Knowledge of School District operations

St. Johns Ambulance-Emergency First Aid Certificate or SOFA with CPR

Fluency in written and spoken French (some schools)

Secretarial training at post-secondary level
